Terms & Conditions

1. Prices quoted apply to standard Home Information Packs (HIP), which include the minimum required elements. Additional searches and/or documents may be needed to complete the HIP. If it is known in advance that those documents are required then these should be requested at the same time as ordering of the HIP. The prices of additional elements are available on request, or at time of ordering.

2. Certain information will be requested at time of ordering, this information is required for all HIPs and should be given as accurately and completely as possible. Any such information is solely used for creation of the specific HIP.

3. Elements of the HIP (such as Searches and Title Deeds) are ordered and paid for by us within 24 hours of your order. This order is not able to be cancelled or refunded and therefore if you choose to cancel your HIP order a charge of £175 will be made. If additional elements have been ordered this charge may be higher. If Property Energy Professionals are supplying the Energy Performance Certificate (EPC) for your HIP, and this has already been carried out before the time of cancellation, the total HIP price quoted will be payable.

4. At all times we will maintain adequate and appropriate insurance cover to protect you as well as acting with integrity and ensuring that all HIPs and their individual elements comply with relevant laws, regulations and industry standards .

5. The First Day Marketing (FDM) HIP (which includes Index, PIQ, EPC, Sale Statement, Official copy of Register and Official copy of Title Plan) will normally be available as soon as is possible after placement of order assuming that a completed Property Information Questionnaire (PIQ), EPC and Sale Statement are provided within this time, allowing for additional time to process the data gathered.

6. The PIQ must be completed by the seller of the property and is normally sent via email. The PIQ can then either be completed electronically and sent back to us using the 'submit' button or printed and completed by hand. If completed by hand the PIQ should be sent back to us either via post or by scanning the document and emailing to us in PDF format (maximum 5MB file size). If the seller does not wish to receive the PIQ via email we can send a hard copy upon request.

7. If an EPC is supplied, and not carried out by Property Energy Professionals, it must be carried out by an insured and accredited Domestic Energy Assessor (DEA). All EPCs should be provided to us in PDF format via email.

8. Once Searches are completed, the COMPLETE HIP will be available. The time for Searches to be completed is dependent upon the search company we use and the local authority for the specific property. Typically the COMPLETE HIP is available within 21 days of initial order.

9. HIPs partially compiled for FDM (First Day Marketing) are provided electronically as a PDF file, via email. Fully completed HIPs are provided electronically as a PDF file, via email, also a single printed copy is provided to either yourself or your estate agent if supplied. If additional printed copies are required these can be supplied at a cost of £20. Please note that a charge is made for each additional printed copy.

10. Payment should be made either at time of booking (via Debit or Credit card). Please note that your HIP (Basic or Complete) will not be sent unless payment has been received in full. For invoiced services, if any amount remains unpaid after 30 days then all invoices then in existence, whether or not due for payment, become payable. Without prejudice to any other rights it may have, Property Energy Professionals are entitled to charge interest at 2% above the current Base Rate of Lloyds TSB Bank plc on overdue payment of any invoice amount, or any part thereof.

11. All HIPs are provided promptly and include the most up-to-date information when compiled as well as being carefully checked before sending. It is important however to check all HIPs for correctness on receipt and any issues reported to us as soon as possible. Any queries, general questions or complaints raised will be handled speedily and fairly and in most situations responded to within 5 working days and where applicable any amendments will be made within this time frame.
